Financial Reports

DiverDash provides comprehensive financial reporting tools that give you real-time insights into your dive center's financial performance. Generate professional reports for business analysis, tax preparation, and stakeholder communication.

Available Reports

DiverDash offers three main financial reports:

  • Income Statement - Revenue, expenses, and profit analysis over time periods

  • Balance Sheet - Assets, liabilities, and equity at specific points in time

  • Expense Breakdown - Detailed analysis of spending patterns by category

Accessing Financial Reports

Step 1: Navigate to Financial Reports

  1. Go to Finance → Reports in the main menu

  2. Choose from the available report types displayed as cards

  3. Each report opens in its own dedicated interface with filtering options

Income Statement

The Income Statement shows your dive center's revenue, expenses, and profit over a specific time period. This report is essential for understanding business performance and profitability trends.

Accessing the Income Statement

  1. Navigate to Finance > Reports in the main menu

  2. Click Income Statement

  3. The income statement interface will open with parameter options

Setting Report Parameters

Quick Filter Options:

  • This Month: Current month from 1st to last day

  • Last Month: Previous complete month

  • This Quarter: Current quarter (Jan-Mar, Apr-Jun, Jul-Sep, Oct-Dec)

  • Last Quarter: Previous quarter

  • This Year: January 1st to December 31st

  • Last Year: Previous complete year

Date Range Selection:

  • Start Date: Click the calendar icon to select the beginning of your reporting period

  • End Date: Click the calendar icon to select the end of your reporting period

Comparison Options:

  • No comparison: Standard report without comparison

  • Previous Month: Compare with the same period last month

  • Previous Year: Compare with the same period last year

  • Previous Quarter: Compare with the previous quarter

  • Year to Date: Compare current period with full year-to-date performance

Additional Options:

  • Trip Filter: Filter by specific dive trips (when dimensions feature is enabled)

  • Export Options: PDF and Excel (Sheet) export

Understanding Income Statement Results

Report Structure: The income statement is organized into clear sections:

Header Information:

  • Report title and selected date range

  • Comparison period information (if selected)

  • Trip filter information (if enabled)

Income Section:

  • Lists all revenue accounts with current balances

  • Shows account codes for reference

  • Displays hierarchical relationships when enabled

  • Total Income: Sum of all revenue accounts

Expenses Section:

  • Lists all expense accounts with current balances

  • Organized by expense categories (if hierarchy enabled)

  • Shows account codes and descriptions

  • Total Expenses: Sum of all expense accounts

Summary Calculations:

  • Net Income: Total Income minus Total Expenses

  • Period Comparison: Shows change from comparison period (if selected)

Key Metrics Cards

The report displays three key summary cards:

Total Income Card:

  • Shows total revenue for the selected period

  • Displayed in green to indicate positive cash flow

  • Includes all course fees, equipment rentals, and retail sales

Total Expenses Card:

  • Shows total expenses for the selected period

  • Displayed in red to indicate cash outflow

  • Includes all operating costs, payroll, and business expenses

Net Income Card:

  • Shows profit or loss for the period

  • Color-coded: green for profit, red for loss

  • Includes comparison percentage if comparison period selected

Export and Sharing

Export Options:

  • PDF Export: Professional format for printing and sharing

  • Excel Export: Spreadsheet format for further analysis

Balance Sheet

The Balance Sheet provides a snapshot of your dive center's financial position at a specific point in time, showing assets, liabilities, and equity.

Accessing the Balance Sheet

  1. Navigate to Finance > Reports

  2. Click Balance Sheet

  3. Select your As Of Date (the specific date for the snapshot)

  4. Choose display options and generate the report

Setting Report Parameters

Quick Filter Options:

  • Today: Current date

  • End of Month: Last day of current month

  • End of Quarter: Last day of current quarter

  • End of Year: December 31st of current year

As Of Date Selection:

  • Click the calendar icon to select the specific date for your balance sheet

  • Common dates include month-end, quarter-end, and year-end

Balance Sheet Components

Assets Section:

  • Current Assets: Cash, accounts receivable, inventory

  • Fixed Assets: Equipment, vehicles, property

  • Other Assets: Deposits, prepaid expenses

Liabilities Section:

  • Current Liabilities: Accounts payable, short-term debt

  • Long-term Liabilities: Loans, mortgages

Equity Section:

  • Owner's Equity: Capital contributions and retained earnings

  • Current Year Earnings: Profit/loss from current year

Key Balance Sheet Equation

The balance sheet always maintains the fundamental accounting equation: Assets = Liabilities + Equity

DiverDash automatically validates this equation and alerts you to any discrepancies.

  • PDF Export: Professional format for printing and sharing

  • Excel Export: Spreadsheet format for further analysis

Expense Breakdown

The Expense Breakdown report provides detailed analysis of your spending patterns, helping you identify cost-saving opportunities and budget more effectively.

Accessing Expense Breakdown

  1. Navigate to Finance > Reports

  2. Click Expense Breakdown

  3. This will redirect you to the Finance > Expenses > Analytics tab

Expense Analysis Features

Category Breakdown:

  • Visual charts showing expense distribution

  • Percentage of total expenses by category

  • Comparison with previous periods

Trend Analysis:

  • Monthly expense trends over time

  • Identification of seasonal patterns
