Account and Login

I forgot my password. How do I reset it?

Click the "Forgot Password" link on the login screen. Enter your email address, and you'll receive instructions to reset your password.

How do I change my email address?

Go to Settings > My Profile > Edit Profile. You can update your email address there. Note that you'll need to verify the new email address before the change takes effect.

Can I have multiple users access the same account?

No, each user should have their own account with appropriate permissions. This ensures proper tracking and accountability within the system.

Scheduling

How do I cancel a session?

Open the session from the calendar, click "Edit Session," then select "Cancel Session" from the dropdown menu. You'll be prompted to provide a reason and decide whether to notify participants.

How far in advance can I schedule courses?

You can schedule sessions up to 24 months in advance, but we recommend planning no more than 6-12 months ahead for better flexibility.

Can I duplicate an existing course schedule?

Yes! Open the course you want to duplicate, click "Actions," and select "Duplicate Course." You can then modify dates and details as needed.

Student Management

How do I add a new student to an existing course?

Go to the course details page, click "Manage Students," then "Add Student." You can search for existing students or create a new student profile.

A student completed some training elsewhere. How do I record partial credit?

In the student's profile, go to the "Training Records" tab. Click "Add External Training" and enter the details of the previously completed sessions.

How do I issue a certification?

Go to the student's profile, select the completed course, and click "Issue Certification." Complete the required fields and submit. The certification will be automatically recorded and can be printed or emailed.

Financial Management

How do I issue a refund?

Find the payment in Financial Management > Payments, select the payment, and click "Process Refund." You can issue a full or partial refund.

Can I offer payment plans?

Yes, when creating an invoice, select "Payment Plan" as the payment option. You can then define installment amounts and due dates.

How do I apply a discount to a course?

When enrolling a student in a course, click "Apply Discount" before finalizing. You can select a percentage discount, fixed amount discount, or apply a promo code.

Equipment Tracking

How do I mark equipment as needing maintenance?

Go to Equipment > Inventory, select the item, and click "Schedule Maintenance." Enter the issue details and set a status of "Needs Maintenance."

How do I check equipment in/out for students?

Go to Equipment > Checkout, scan or select the equipment items, then scan or select the student ID. Set a return date and complete the checkout process.

Can I track equipment service history?

Yes, each equipment item has a "Service History" tab that records all maintenance activities, including dates, issues, and work performed.

Reports

How do I export student attendance data?

Go to Reports > Operational Reports > Attendance Report. Set your date range and filtering options, then click "Generate Report." Use the "Export" button to download as CSV or PDF.

Can I customize reports?

Yes, most reports have customization options. Look for the "Customize" button on the report generation page to select columns, filtering criteria, and grouping options.

How do I save a report for future use?

After customizing a report, click "Save Report Template." Give it a name and description. You can access saved reports in the "Saved Reports" section.

Technical Issues

The system seems slow. What can I do?

Try clearing your browser cache, ensure you're using a supported browser (Chrome, Firefox, Safari, or Edge), and check your internet connection speed.

I found a bug. How do I report it?

Click the "Support" icon in the bottom right corner of any screen, then select "Report a Problem." Provide a detailed description and screenshots if possible.

Does Diver Dash work on mobile devices?

Yes, Diver Dash is fully responsive and works on smartphones and tablets.
