Adding Rental Equipment

Add new equipment to your rental catalog so it is available for bookings.

Prerequisites

  • You must have rental manage permissions.

Overview

Every piece of rental gear at your dive center needs a catalog entry before it can be included in a booking. When you add equipment, you provide identification details (code, type, model, serial number), set a rental rate, and record the item's current condition.

Navigate to Rentals > Add Equipment to access this page.

Adding Equipment

  1. Navigate to Rentals > Add Equipment.

  2. Fill in the required fields:

    • Equipment Code -- A unique identifier for this item (e.g., BCD-001).

    • Type -- The equipment category. Select from: BCD, Regulator, Wetsuit, Mask, Fins, Computer, Tank, or Other.

    • Model -- The manufacturer's model name.

    • Rental Price -- The rental rate per day or per booking.

  3. Fill in optional fields as needed:

    • Brand -- The manufacturer name.

    • Serial Number -- The manufacturer's serial number. Must be unique per company.

    • Size -- The size designation (e.g., S, M, L, XL).

    • Condition -- Current condition: good, fair, poor, or damaged. Defaults to good.

    • Status -- Initial availability: available, rented, or maintenance. Defaults to available.

    • Purchase Date -- When your company acquired the item.

    • Original Cost -- The purchase price you paid.

    • Image -- Upload a photo of the equipment.

    • Notes -- Any additional information about the item.

    • Last Maintenance Date -- When the equipment was last serviced.

    • Next Maintenance Date -- When the next service is due.

    • Maintenance Notes -- Details about recent or planned service work.

  4. Click Save.

DiverDash creates the equipment record and redirects you to its detail page.

After Adding Equipment

Once saved, the equipment is immediately available for:

  • Rental bookings -- Staff can select it when creating a new booking.

  • Catalog browsing -- It appears in the Equipment Catalog.

  • Status tracking -- Its status updates automatically as it moves through bookings.

Tips

  • Use a consistent code format. For example: type abbreviation + sequential number (REG-001, REG-002).

  • Record serial numbers for all high-value items. This is essential for warranty claims and insurance.

  • Set Next Maintenance Date when adding the item. This ensures it appears in maintenance reminders from day one.

  • Enter the Original Cost so you can track depreciation and replacement planning over time.

  • If adding many items at once, work through one type at a time to maintain consistent codes and details.

Troubleshooting

Problem
Solution

Equipment code already exists

Each code must be unique within your company. Check the existing catalog and choose a different code.

Serial number conflict

Serial numbers must be unique per company. Verify the serial number is correct and not already assigned to another item.

Equipment not appearing in booking search

Confirm the status is set to available. Items in maintenance or rented status do not appear in booking searches.

Cannot save the form

Check that all required fields (Equipment Code, Type, Model, Rental Price) are filled in.
